Hi Grow Admins! 👋
One question we hear often from Grow Admins is the difference between coaching groups and user tags, and when to use each in your workflows. This topic comes up especially as teams configure dashboards and want to optimize how they assign and review forms.
Let’s break it down ⬇️
🧠 What’s the Difference?
-
Coaching Groups are primarily used to assign visibility and access to observation forms, dashboards, and coaching data. They work well when you want groups of users to be seen and supported by specific coaches or leaders.
-
User Metadata (Tags) are flexible labels you can apply to users for filtering, reporting, and organizing your coaching and observation data. These tags don’t affect visibility, but they make it easy to pull targeted reports.
✅ Pros & Cons

| Useful for reporting filters | ⚠️ Limited | ✅ Highly customizable |
